What is the compassion process?

What is the Board of directors compassion principle?

It is a compassion approach that was created by the board of directors to help us handle client errors during the rank order list period. For example, if an applicant calls us saying they experienced a power outage or other technical glitch during ranking, or a program tells us they forgot to rank a preferred applicant, we may accommodate a change up to 18 hours after the deadline (9:00am the day following the ROL deadline).

Why do we allow this?

While CaRMS is under no obligation to facilitate the correction of client errors identified after the rank order list deadline, should such errors be reported they will be assessed to determine whether making an exception is in the best interests of a fair, objective and transparent match. In other words, we’d like to maximize all possibilities of success.

How and who do you contact if you get a request to change an ROL?

While these guidelines mention that exceptions to the ROL deadline are possible, they are extremely rare. For this reason, we ask that you do not mention the possibility of exceptions to deadline in your dealings with clients. If you receive communication from a client regarding an error that could affect the match outcome, please instruct them to send an email to compliance@carms.ca.

When can this happen?

Up to 18 hours after the deadline (9:00am the day following the ROL deadline). Afterwards, all match results will be considered final.
