Preparing for a match: PGME/Program responsibilities at a glance
Prior to a match opening to applicants, PGME and programs are required to:
- Set up their program descriptions
- Review and update their user accounts;
- Participate programs in the match; and
- Set program quota.
1. SET UP PROGRAM DESCRIPTIONS
- Each participating program in a match must have a program description.
- The Program Director and Program Admin populate the program description by the deadline and submit it to the PGME Office for approval.
- Once the PGME approves the description it is posted on carms.ca
- Program administrators and program directors can access and modify almost every section of the program description except for the three following sections which can only be completed by the PGME:
- Return of Service
- Citizenship
- Language Proficiency
Second iteration
The following section cannot be modified in second iteration:
- General Instructions
- Program Highlights
- Program Curriculum
- Training Sites
- FAQs

2. REVIEW AND UPDATE USER ACCOUNTS
Permissions in CaRMS Online are determined by the role a user has in CaRMS Online.
- The PGME Office is made up of the Postgraduate Dean, Postgraduate Manager, and Match Coordinator.
- Program users are made up of the Program Director and Program Administrator

3. PARTICIPATE PROGRAMS IN THE MATCH
Only the PGME Office users with the roles of Postgraduate Dean and PGME Coordinator can participate and un-participate programs in a match.

4. SET PROGRAM QUOTA
Quota is the number of allocated positions in a program.
A users ability to view, edit and approve program quota depends on the role they have been assigned in CaRMS Online.

In the first and second iteration of the R-1 Main Residency Match, approximate quota must be entered by PGME offices in CaRMS Online prior to the opening of Program Selection in order for applicants to be able to select the program. If no quota is entered, applicants will not be able to select that program.
This is not the case in the subspecialty matches (Fall, Spring and FM/ES), where applicants can apply to programs even if no quota has been entered.
